Automatic replies to buyer enquiries, for estate agencies in Spain
An enquiry comes in at 23:14. At 23:15 the reply is already written, in the language the buyer wrote in, with their name and the property they asked about. At first it waits in your inbox and someone from your office sends it. When you trust it, it can go out on its own.

Most enquiries from abroad arrive when the office is closed
A buyer in Oslo or Manchester writes in the evening, their time. In August 2026 I wrote at night, as an ordinary buyer and under my real name, to 57 estate agencies on three stretches of the Spanish coast: Torrevieja, the Marina Alta and the western Costa del Sol. 30 never replied. Of those that did, the median wait was of about 12 to 14 hours in all three areas, and no person replied between 23:00 and 09:00. By then the buyer has written to the other agencies with the same listing. The study, with its method and its limits (in Spanish).
What the system does, and what it does not
Replies in about a minute
With the buyer's name, the reference of the property they asked about and what they said mattered to them. In the last real test, on 20 August 2026, the reply was ready 63 seconds after the enquiry arrived.
In the buyer's language
If a Dutch buyer writes in Dutch, the reply is in Dutch, even when the portal's notice reaches you in Spanish.
Drafts first
The reply waits in your email and someone from your office presses send. It only goes out on its own the day you decide, or never, if you prefer to keep sending it yourselves.
It does not make things up
If the buyer asks about pets or community fees and that is not in the notice, the reply says so and leaves it for your call. The call, the viewing and the checked facts stay with you.
When something cannot be prepared, you get an email saying what and why. Nothing is left unanswered in silence. Your CRM, your portals and your email (Gmail, Outlook or the one on your website) stay as they are: I set it up from the notices you already receive, in about half an hour.
In automatic mode, the first reply ends with a line saying it was prepared by an AI assistant and that the call will be made by a person from the office, in the buyer's language. That is how I apply Article 50 of the EU AI Act (my reading, not legal advice).
It depends on what the notice brings
| Where the enquiry comes from | What the system does |
|---|---|
| Your website's form and direct email | Drafts the reply to the buyer. |
| Portals whose notice brings the buyer's email, such as thinkSPAIN (checked on a real notice on 19 August 2026) | Drafts the reply to the buyer. |
| The idealista chat | The notices I have seen bring the name, the phone, the property and the message, but not the buyer's email, so there is no email to reply to. Within about a minute your agent gets an email with who it is, their phone and the property, marked to call. |
| Fotocasa | I have not yet seen a real Fotocasa notice. If yours does not work in time, the guarantee below still applies: the risk is mine. |
149 € + VAT a month per office. The first month is free
- Up to 100 enquiries a month per office. From 101 to 250, 199 € a month; I tell you before that happens. Above that, we talk.
- First month free, no card, no setup fee, no commitment. A few days before it ends I let you know in writing. Month to month after that: you stop whenever you want and your email and listings stay exactly as they were.
- At the end of each month, the count: how many enquiries came in out of hours and what happened with each one.
The 5-minute out-of-hours guarantee
If in a month any idealista or Fotocasa notice that reaches you out of hours takes more than 5 minutes to have its reply prepared, you do not pay that month. «Prepared» means written and in front of your team (as a draft or as the alert to your agent), or sent if you use automatic mode. I measure my part: from the time on the notice itself, when it reaches your email, until the reply is prepared. If you forward a notice by hand, it counts from the time of the forward.
If my system discards a real buyer's notice by mistake (taking it for a portal invoice or a newsletter), that notice counts as not prepared. The proof is the monthly report, notice by notice. It counts from the first month you pay for. It is a service guarantee, not a sales guarantee.
The full terms are on the Spanish page, which is the reference: respuesta a los contactos, and every price on precios. I can write to you in English or in Spanish, as you prefer.
Two ways to see it with your own listings
Forward me a notice
Forward me an idealista or Fotocasa notice from this week, with the buyer's name, email and phone deleted. I send you back the reply that would have gone out, written with your texts. If it does not convince you, we leave it there and you owe me nothing.
Or just name a listing
Tell me a property on your website and I send you the reply that a buyer asking about it at eleven at night would receive: in their language, with the data from your listing and with your signature. Nothing touches your email.
